This document outlines the proposed policy revisions and associated cost estimates for engineers deployed on short-term assignments (up to 2 weeks) between Coimbatore and Ahmedabad. The objective is to ensure cost transparency, operational efficiency, and employee well-being while maintaining financial feasibility for the organization.

Project Overview

  • Deployment Type: Short-term, intermittent travel
  • Duration per Engineer: Up to 14 days
  • Travel Route: Coimbatore ↔ Ahmedabad
  • Deployment Nature: On-site project support

Cost Components & Policy Proposals

1.Meals

Finalized Allowance: INR 1,050 per day The meal allowance will be credited directly to the employee’s salary through payroll. This ensures streamlined disbursement and compliance with payroll processing standards.

2. Travel Costs (Airfare)

Type Estimated Cost (INR) Remarks
One-way Flight ₹13,900 Budget fare (advanced booking)
Round-trip Flight ₹18,564 – ₹27,846 Standard expected range

Travel costs are within a reasonable market range for domestic flights. Advance booking and centralized ticketing can help optimize costs. All travel bookings will be centrally managed and arranged by Vandey, ensuring cost optimization and administrative efficiency.

3.Local Transport

Estimated Cost: ₹ 2445/day

Provision: Company-arranged cab services

  • Local transportation will be arranged and managed by Vandey Global Services.
  • This includes daily commute and operational travel requirements.
  • Ensures safety, reliability, and administrative efficiency.

4. Accommodation

Type Per Night Cost Monthly Cost Pros Cons
Hotel Stay INR 3,000 – 4,000 INR 90,000 – 120,000 Flexible, no long-term commitment, services included Expensive for longer stays
Apartment Stay INR 50,000 – 60,000 Highly cost-effective, suitable for repeat use Requires setup, less flexibility
  • Until an apartment is finalized, hotel accommodation will be arranged within the approved range.
  • Apartment costs will be confirmed based on final availability and lease terms.

5. Project Incentives

Proposed: 25% additional incentive on total earnings

Eligibility: Deployment beyond 7 consecutive days (up to 2 weeks)

This incentive structure encourages participation and compensates employees for extended on-site commitments. Since earnings vary by individual, the cost impact will differ.

6. Accidental Insurance

  • Insurance is applicable at the entity level.
  • Any employee traveling under the respective entity (firm) will be covered.
  • An entity-level insurance remains valid for one year from the date the payment is made, and the coverage period is calculated accordingly.

This ensures centralized risk coverage and compliance without the need for individual policies

Expense Management & Approval Policy

  • All services including travel, accommodation, and logistics will be arranged by Vandey.
  • The meal allowance is the only component paid directly via payroll.
  • Any expenses exceeding approved limit will require prior written approval from the Meptagon team.

Conclusion

The proposed structure ensures a balanced approach between employee comfort and cost efficiency. With centralized service management, transparent policies, and controlled expense approvals, this model enables seamless execution while maintaining financial discipline.
